Job Description

The Ethnic Studies Department has been in existence for more than 50 years at Sacramento State. It is a degree-granting interdisciplinary department offering course work in the study of the past and present histories, cultures, and issues that define ethnic group experiences in the United States. In addition to its teaching mission, the department is involved in research and community-based projects. Active commitment in the community was and continues to be a priority for the department to effect positive change.


The Ethnic Studies Department is comprised of four programs that mirror the student participants of the 1968 Third World Strike in San Francisco State University and 1969 at Berkeley: Asian American Studies; Chicanx/Latinx Studies; Native American Studies; and Pan African Studies.

We are the only Department and discipline at Sacramento State University that has faculty and classes that focus primarily on race, class, and ethnicity. Given the importance of California's diverse racial and ethnic composition, the Department of Ethnic Studies plays an important role in California's demographics, socio-economic landscape, and future. As an interdisciplinary field of critical inquiry and scholarship, the field has expanded to include contemporary issues and more critical approaches that connect global and national issues and address the experiences of racialized and indigenous groups in the U.S. in relation to power.

The Ethnics Department on the Sacramento State campus is seeking to hire one Administrative Assistant. This position provides administrative and fiscal coordination support for the AANAPISI (Asian American and Native American Pacific Islander-Serving Institutions) Grant at Sacramento State. The role supports grant implementation by assisting with budget tracking, financial processing, coordination with community college partners, and logistical support for programming focused on transfer, retention, and graduation outcomes for AANHPI students.

This position requires strong organizational skills, attention to detail, and the ability to coordinate across multiple programs and institutional partners while ensuring compliance with University Enterprises, Inc. (UEI) and federal grant guidelines.

Conditions of Employment

This is a part-time, temporary, non-benefited position. Employment in all positions with University Enterprises, Inc. is dependent upon the mutual consent of University Enterprises, Inc. and the employee. This means that either University Enterprises, Inc. or the employee can, at any time, terminate the employment relationship at will, with or without cause.

UEI does not allow employees to hold more than one UEI Job at a time, or work in more than one account per pay period. UEI employees who are considering leaving their current UEI position for a different UEI position should inform their supervisor in writing and provide at least a week’s notice.

Work Schedule

Flexible workdays and work hours, Monday – Friday, between 8 AM – 5 PM. Final work schedule to be determined by supervisor.

Additional Work Schedule

Casual employees are limited to 19.5 hours per workweek (Sunday – Saturday).

Compensation

$25.19 per hour

Minimum Qualifications

  • Strong organizational and administrative skills.
  • Experience with budget tracking and financial processes.
  • Ability to coordinate across multiple stakeholders.
  • Knowledge of Microsoft Office (Excel, Word, Outlook).
  • Ability to handle sensitive information with confidentiality.
  • Strong communication and problem-solving skills.

Duties and Responsibilities

  • Assist with tracking AANAPISI grant expenditures and monitoring budget allocations.
  • Support processing of invoices, reimbursements, and purchase requests through UEI.
  • Coordinate with UEI (Account Analyst) on financial documentation and approvals.
  • Maintain organized records of expenditures and supporting documentation for compliance.
  • Serve as administrative liaison for partner community colleges (ARC, CRC, FLC, Sac City, Sierra, Delta).
  • Assist with submission and tracking of invoices related to partnership activities.
  • Communicate with partners regarding budget timelines, allowable expenses, and documentation requirements.
  • Provide logistical and administrative support for AANAPISI-funded programming (e.g., Student Leadership Conference, workshops, transfer initiatives).
  • Assist with coordination of materials, participant tracking, and event documentation.
  • Support communication and scheduling across Sac State collaborative partners (ISR, TRP, EOP Transfer Bridge, FCP).
  • Assist PI with maintaining compliance with federal AANAPISI grant guidelines.
  • Support preparation of documentation for reporting and audits.
  • Ensure administrative processes align with grant objectives (transfer success, retention, student engagement).

Physical Requirements

Working Conditions

Work is performed in an office environment.

This position will be primarily on-site, with limited flexibility for remote work as needed.

The decision to permit an employee to work from home is at the discretion of the supervisor or employer and may, at any time and with or without cause, unilaterally terminate the option to work from home.
